Why a checklist beats a ranking
Search for the best software development company in India and you will find thousands of firms, dozens of top-ten lists and plenty of award badges. Many of those lists are paid placements, and none of them know your project. The right company for a hospital management system in Lucknow may be the wrong one for a fintech app in Bengaluru.
A checklist works better. It turns a vague sense of trust into questions with clear answers, and it lets you compare firms on the same terms. Use the sections below in order: first confirm the company is real, then judge its work, then its people and process, and only then compare price.
1. Confirm the company is real
Basic checks take minutes and filter out a surprising number of options. Look up the company on the Ministry of Corporate Affairs portal to confirm its registration and incorporation date, and verify its GSTIN on the GST portal. Check that the office address exists and, if you can, visit it. Look at the team on LinkedIn and see whether the people you will meet actually work there.

2. Judge real work, not screenshots
Ask for live products you can install or log into, ideally similar to yours in complexity. Screenshots and Dribbble shots show design taste, not engineering quality. Ask which parts of each product the company built, since many projects involve several vendors.
Then speak to references. Ask past clients whether the project finished on time and on budget, how changes were handled, how responsive the team was after launch and whether they would hire the company again. Two honest reference calls tell you more than any rating.
3. Meet the team and understand the process
Ask who will actually work on your project: the project manager, the lead developer, designers and QA. Ask about their experience and whether they will stay for the whole project. Then ask how a feature moves from idea to production.

4. Check the knowledge your product needs
Products for Indian users have specific requirements. Ask how the company has handled UPI payments and subscriptions, GST invoices and e-invoicing, OTP delivery under DLT rules, Hindi and regional languages and performance on budget Android phones. If personal data is involved, ask how they build consent and deletion flows under the DPDP Act. Vague answers here mean you will be paying for their learning curve.
5. Read the contract carefully
The contract should name deliverables, milestones and acceptance criteria, and assign all intellectual property to you. Under Indian copyright law, an assignment should state that it is worldwide and for the full term of the rights, since missing details can be read narrowly. Insist on a mutual NDA, a defined warranty period and a handover clause covering code, credentials and documentation. This is general information, not legal advice.
Keep repositories, cloud hosting, domains and app store accounts in your company's name. A vendor that resists this is a vendor that can hold your product hostage later.
6. Compare quotes on scope, not totals
Two quotes for the same app idea can differ several times over because they assume different scope, design depth, testing and support. Ask each firm to list its assumptions and what is excluded, then compare like for like. Pick the pricing model that fits your situation. Fixed price suits clear scope; time and material suits evolving products. See fixed price vs time and material for the trade-offs. Be wary of a quote far below the others; something important has usually been left out.
7. Ask about security and data protection
Your vendor will handle your code, credentials and possibly customer data. Ask how they manage laptops and accounts, whether staff use individual logins with multi-factor authentication, how access is removed when someone leaves and how they keep production data out of development. Under the DPDP Act and CERT-In's directions your own business carries obligations too, with most DPDP duties phasing in by May 2027 under the DPDP Rules' current schedule, so the vendor's practices become part of your compliance.
8. Plan for life after launch
Software needs care after release: bug fixes, Android and iOS updates, security patches, server monitoring and new features. Ask what the warranty covers, what a maintenance plan includes, how quickly urgent issues are handled and who will be on call. A company that only talks about the build and not the years after it is selling you half a product.
Warning signs
Some signals should make you pause, however good the sales call felt:
- A fixed price quoted after a single short call
- No live products or references, only screenshots
- Reluctance to put IP assignment and handover in writing
- The senior person from sales meetings disappears after signing
- Pressure to pay a large advance before any work is shown
- Code and accounts kept on the vendor's side
Run a small paid trial
When two or three firms look equally good, a short paid trial settles it. Give each a small, real piece of work, such as a discovery workshop or one feature, and pay for it properly. Watch how they ask questions, estimate, report progress and handle feedback. The trial costs little compared with a failed project, and it gives both sides a real basis for the decision.
